Definition
The Business Manager reports directly to the General Manager of FGMC and provides financial, administrative, clerical and office management support for FGMC.
General Responsibilities:
The Business Manager is responsible for:
· All facets of financial operations
· Maintaining records and required work-related documents
· Maintaining personnel files
· Providing clerical support for the General Manager
Typical Functions:
Specific responsibilities of the Business Manager include, but are not limited:
· General Ledger: Prepare monthly financial reports; prepare account recaps and financial report for presentation to the FGMC Management Committee on a monthly basis
· Accounts receivable: Prepare invoices and statements, receive payments, and make deposits
· Accounts payable: Process purchase orders; code invoices to the correct general ledger account and prepare payment
· Petty cash: Dispense and replenish funds as necessary; maintain records for the General Manager’s approval.
· Payroll: Prepare timecards/punch cards for new employees; process payroll; compile and prepare all quarterly and annual payroll reports for local, state, and federal reporting agencies.
· Human Resources: Post job openings and submit applications to appropriate hiring team; maintain employee files; update and maintain personnel information (sick leave and vacation); schedule probationary and annual performance evaluations; E Verify employees with the Federal Government, comply with Arizona law; report new hires to the State of Arizona, maintain current knowledge of payroll and employment laws and regulations; respond to unemployment claims; represent FGMC at hearings regarding employees’ unemployment claims. Maintain I-9 records as required by law; report workers compensation accidents to proper agencies and maintain records; investigate employee work related accidents and make reports; schedule employee drug testing; manage, coordinate and maintain records for FGMC Substance Abuse Program; schedule and hold safety meeting in English and Spanish; help train employees in the shop and in the field in English and Spanish; file quarterly worker compensation reports; responsible for annual workers compensation audit; represent FGMC at workers compensation employee claim hearings. Compile and maintain OSHA employee’s work related documents as required by law, act as liaison between employee and Benefit Coordinator.
· Budgets: Compile and prepare annual budgets for the General Manager’s approval. Report to the General Manager on a monthly basis the status of the operational budget.
· Inventory: Process receipt of all inventory in asset management system; provide monthly county sheet to General Manager for monthly inventory counts; retrieve monthly fuel meter readings and clear database; calculate usage and enter in General Ledger.
· Depreciation schedule: Maintain fixed asset list and record/calculate the monthly depreciation of all fixed assets.
· Yearly Financial Review: Compile and prepare all necessary documents and assist the CPA to prepare the Annual Financial Review.
· Water Usage: Record and properly allocate reclaimed water usage for all utilizers, bill as appropriate.
· UST: Maintain necessary records for the underground storage tank as required by law; schedule yearly maintenance of tanks and pumps, compute and file annual report.
· Insurance: Responsible for renewal of Building/Liability umbrella, UST and D&O policies for the approval of the General Manager; compile and prepare necessary annual reports for the renewal of the Building/Liability policy.
· General Administrative: answer and direct all incoming calls; greet and direct all visitors; distributes all incoming mail; oversees outgoing mail and shipping; maintain postage supply; manage the office supply inventory; compile and prepare the minutes of the FGMC Management Committee meetings on a monthly basis; prepare Management Committee meeting notices and assist the General Manager in preparing the Management Committee meeting agenda; contact water company to turn meters on and off, as requested by General Manager, for the bathrooms on each course; maintain records of current building keys; insure all licenses and memberships are renewed on a timely manner; responsible for maintaining vending machine, (order product, replenish product, deposit sales revenue); schedule telephone system maintenance.
· Other duties as assigned by the General Manager
